1. Policy Scope
This privacy policy (the “Policy”) sets out how Japan In-house Counsel Network (“JICN”) deals with Personal Information that it collects and receives, including information about its members’ name, contact, and company. “Personal Information” has the same meaning as “kojin joho” defined in the Act on the Protection of Personal Information (Act No. 57 of May 30, 2003) (the “Act”).
2. Collection, Use, and Retention of Personal Information
2.1. JICN collects Personal Information in the course of your use of the JICN website and/or participation in JICN events. JICN may also collect your Personal Information when, among others, you contact or communicate with JICN (i.e., by email or any other means).
JICN ensures that the collection of Personal Information is conducted in a lawful and appropriate manner and in compliance with the Act, and other relevant laws and regulations.
2.2. JICN uses your Personal Information:
2.2.1. to provide you the JICN website and improvement thereof;
2.2.2. to determine membership eligibility and provide membership benefits;
2.2.3. to contact you in connection with JICN events and announcements;
2.2.4. to administer, maintain and improve JICN, its events and other activities;
2.2.5. to plan, implement, and evaluate JICN’s activities; and
2.2.6. to manage, attend to, and manage your request to JICN.
2.3. Photographs and videos may be taken at events organized or supported by JICN and may be posted on the JICN website or other social networking sites.
2.4. JICN will retain Personal Information only for as long as is necessary for the purposes set out in this Policy.
3. Information Sharing and Disclosure
JICN does not license, sell, or share Personal Information with a third party without your consent.
Notwithstanding, by agreeing to be a member of JICN and/or using the JICN website, you
acknowledge and consent to the sharing of your Personal Information to the following third parties:
3.1. JICN may share your Personal Information with organizations (i.e., law firms, companies) that are sponsors, partners or collaborators of the event to the extent necessary to conduct the event.
3.2. JICN will provide your Personal Information to developers, administrators and maintainers of the JICN website for the purpose of developing, administering and maintaining thereof.
3.3. JICN will entrust your Personal Information, in whole or in part, within the scope necessary to its service providers engaged to assist JICN in providing its services (i.e., cloud computing service provider or mailing service provider).
3.4. JICN will share your Personal Information to relevant third parties in connection with responding to court orders, or legal process, or to confirm or exercise our legal rights or defend against legal claims.
3.5. JICN will share your Personal Information when we believe it is necessary in order to (a) comply with applicable laws and/or regulations; (b) respond to your requests for user service; or (c) protect the rights, property or personal safety of JICN, its members, the users of the JICN website, or the public.

4.1. JICN may establish and access JICN cookies on your computer.
4.2. JICN may allow other companies that show material on the Website to establish and access their cookies on your computer. Other companies’ use of their cookies is subject to their own privacy policies. Such other companies do not have access to JICN cookies.
5. Request & Inquiry
JICN will use its reasonable effort to respond promptly and appropriately to your legal requests for disclosure, correction, suspension of use etc. of the retained Personal Information of you, and to inquiries and complaints concerning JICN’s handling of your Personal Information.
6. Your Rights and How to Exercise Them
JICN is committed to protect your Personal Information, and the security of your Personal Information is important to us, but remember that no method of transmission over the internet, or method of electronic storage is 100% secure. While JICN strives to use necessary and appropriate means to protect your Personal Information, JICN cannot guarantee its absolute security.
7. Policy Changes
JICN may update this policy from time to time. We will notify you about significant changes in the way we treat Personal Information by sending a notice to the email address registered in your JICN account and/or by placing a prominent notice on our site.
